Conference and Events Coordinator

Job Introduction

Working as part of the Sales Department, the Conference & Events Coordinator is responsible for assisting the Events Manager with the day to day running of conferences & events taking place at the hotel, helping with Golf Membership, maximizing sales and constantly striving to improve the guest experience.

Role Responsibility

  • To create and deliver Wow show-rounds in order to increase conversion on enquiries
  • To effectively manage events for the hotel, collating all relevant information and assist clients in all event planning stages
  • To ensure great attention to detail and care is taken in the creation and communication of our Business Event Orders
  • To produce accurate function sheets on time maintaining 100% attention to detail
  • To ensure that the Hotel is correctly represented across all marketing channels, in-house and on-line
  • Anticipate guests’ needs where possible to enhance the quality of service and positively promote sales to maximize revenue
  • Manage key clients who are important to the business, ensuring we are constantly striving to improve their guest experience, but also being mindful to help improve all guests experiences at the hotel
  • Be passionate about the services offered by the hotel and the company
  • Work with the Sales Manager to formulate new ideas and strategies for improving our guest experience
  • Work with and support the wedding team, assisting with wedding show rounds when required.
  • To be up-to-date and knowledgeable on competitor activity
  • To identify, develop and maintain strong account management and networking opportunities with key potential, existing and new Clients and Associations in the local area of base property, in order to enhance business relationships and increase revenue
  • To analyse and review the profitability of every event
  • Operate and maintain in-house booking systems as per Exclusive Hotels and Venues standards
  • To ensure ownership and consistency in the Brand – direct marketing, in-house marketing, collateral and third-party websites
  • To be the ambassador for Conference & Events at the hotel
  • To assist and undertake any responsible duty instructed by the Sales Manager & Hotel Management
  • Liaise and communicate with all hotel departments in a professional and courteous manner
  • At all times project a favourable image of Exclusive Hotels and Venues
  • Keep immediate manager promptly and fully informed of all problems or unusual matters of significance
  • Perform all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures achieve the overall objectives of this position
