We are now actively recruiting for a Personal Assistant to the General Manager (GM). We are looking for a confident, highly organised and experienced PA who has previous experience in a similar role. Providing administrative support to the GM, you will be an engaging, personable and organised individual with strong attention to detail and excellent communication skills, both written and verbal.

Role Responsibility

Lots to do but lots of fun 

  • Attend meetings as and when required, in order to take notes.
  • Receive all incoming external and internal mail, plus relevant forms and issue to persons as appropriate.
  • Actively engage and participate in effective communication ensuring all methods are undertaken politely, efficiently and in a timely manner.
  • Use HART property management system for guest profiling, reservations and meeting room bookings (training will be provided).
  • Acting as first point of contact for calls for the GM and screen as required.
  • Dictation of GM correspondence by audio tape.
  • Composition/drafting of correspondence on behalf of the GM.
  • Arrange all licensing matters.
  • Attend Employee Consultative Committee meetings.
  • Ensure welcome cards are arranged for VIP guests from GM.
  • Create annual diary/spreadsheet for all key events and meetings.
  • Manage mind maps using MindManager for senior team.
  • Respond to TripAdvisor reviews on behalf of the GM.
  • Be fully conversant with the company brand guidelines.
  • Ensure that the computerised and manual personnel filing system is updated and maintained at all times.
  • Complete expense claims on behalf of the GM and gaining sign off by the Managing Director on a monthly basis.
  • Provide a full range of executive secretarial and administrative support activities for the GM, Deputy General Manager and on occasions the General Manager's at other properties inclusive of highly confidential and sensitive matters.
  • Produce agenda’s for internal meetings in conjunction with GM.
  • Maintain diary and arrange appointments using Microsoft outlook calendar and to keep the GM informed of appointments made.
  • Gather information and prepare presentations in conjunction with the GM for meetings as required such as Employee Quarterly Meetings, Strategy Review meetings etc.
  • Administer the raising of complimentary vouchers for guest recovery and charitable donations as approved by the GM.
  • Raise any purchase orders as and when requested.
  • Liaise with other hotels in the collection for all employee and friends and family requests and to pass on to reservations team once approved by the GM.
