Assistant Financial Controller (Financial Controller Designate)

Job Introduction

  1. Assisting the Financial Controller in the efficient and effective running of the Accounting Department
  2. To maintain accounting records and management information for the business, ensuring all audit and control processes are adhered to.
  3. To execute group policies and procedures in relation to the Accounting Department and the Hotel  

Role Responsibility

  1. To report and reconcile daily revenue, prepare daily, management information for  hotel. Audit of daily rates, liase with departmental managers.
  2. Attend morning meeting with details and actions on previous days revenue for discussion with managers.
  3. Responsible for processing of  purchase orders and invoices, input to Sage coding correctly to nominal codes, pay suppliers in accordance with Exclusive Hotels policy. Deal with supplier queries, ensuring supply is maintained at all times to cost centres.
  4. Responsible for payroll processing, both weekly and monthly payrolls, payments by BACS and monthly PAYE reconciliaton. Report payroll costs by department and input into nominal ledger.
  5. Reporting and auditing of Time and Attendance System.
  6. Ensure client invoices are raised within three days of the event and credit control is in place to collect debts in line with company policy of 7 days. Deal with client queries, feed back to departments errors and mistakes.
  7. Internal audit on a regular basis of systems.
  8. Ensure all revenue is captured and all costs are reported correctly in nominal ledger.
  9. With Financial Controller prepare weekly P & L reports.
  10. With the Financial Controller prepare monthly management accounts  in line with group policy. Oversee stocktakes for beverage and quarterly departmental stocks, liase with all HOD’s regarding departmental P & L’s, gross profit %
  11. Ensure  balance sheet accounts are reconciled and actioned every month.
  12. To attend training as required.

The Ideal Candidate

Qualifications/Experience

 

Qualified or studying AAT/HOSPA or similar aqualification or qualified by experience, with proven track record within leisure or retail industy  at assistant FC level or senior accounts assistant. This role is 6 months at assistant FC level with a view to taking on FC role after 6/9 months

 

Key skills required

 

Strong manager, self motivator, with attention to detail, used  to working to tight deadlines, must have a “hands on” approach, taking responsibility for some areas of finance in line with Exclusive Hotels company policy. Strong IT skills in  accounting, payroll, FOH and T & A systems. Must have experience of self accounting properties through to Trial Balance and management reporting.

 

Systems Experience

 

Accounting and payroll systems, Excel to intermediate/advanced level.  Property Management systems/EPOS systems, stock/inventory systems, T & A system

 

Systems at Exclusive  include Sage 200 for accounting, Snowdrop/KCS for payroll and HR, Promark for Time and Attendance . Spring and Miller PMS.
