We are actively seeking a Golf Membership Administrator to work as a key member of the Hotel and Golf team with a focus on driving membership of our outstanding facilities whilst ensuring all members and guest receive the highest level of service and product at all times.

Role Responsibility

Lots to do, but lots of fun

The Golf Membership Administrator will be responsible for…

  • Take membership calls and book tours.
  • Produce bespoke packs of information for clients and potential members.
  • Update functions sheets with minor changes to assist the F & B team.
  • Assist with managing the tee sheet and membership requests.
  • Assist the team, making sure all emails to the membership email inbox are actioned as soon as possible.
  • Draw up and maintain the membership calendar of events
  • Create and amend function sheets for member’s events and special requests.
  • Send an e-card to each member on their birthday
  • Work with the Golf Club Manager to create some ‘feel good’ member events through the year.
  • Great People

  • Assist in the members events, and support the team with the prep work prior to the event.
  • Merge and send membership renewal letters, chases and receipt letters.
  • Assist with the new member journey and organise the 30 day, 6 month & renewal touch points
  • Assist with any other administrative tasks the Golf Club Manager requires.
  • Improve Profit

  • Take payments for membership via HART PMS system in a timely manner
  • Send out timely reminders to the membership database about the membership benefits
  • Maintain member’s profiles on HART, adding in any preferences/allergies/important info to their profiles.
  • Ensure all processes are delivered online to save on paper use.
  •  

    Increase Revenue

  • Assist in the action of enquiries and sending out tariffs, brochures, proposals and relevant information.
  • In the absence of the Golf Club Manager, be capable of delivering a membership enquiry, show round and sale.
  • Strong Brand

  • Print of all relevant literature.
  • Create new member welcome packs, fixture lists and communication emails
  • Create tableplans, placecards and menu cards on behalf of the members events.
