Maintenance Coordinator

Job Introduction

To maintain good customer relations by being the first contact for the department and coordinating all team activities including distribution of jobs on HOTSOS, dealing with contractors and suppliers and organising and managing all administrative documentation for the team.

Role Responsibility

Our successful Maintenance Coordinator will be responsible for;

  • Providing a professional and friendly service to all visitors and colleagues
  • Maintaining the technical services office in an orderly and tidy condition
  • Maintaing an system of filing that enables other users to easily navigate around
  • Assist the Technical Services Manager with diary management
  • Providing a consistent follow up to all messages, reported maintenance issues, purchasing and other enquiries
  • Oversee the Maintenance Management System ( HOTSOS ) and ensure full use  thereof throughout the Hotel & Spa
  • To schedule/allocate work and jobs for the team based on task/guest priority
  • Preparing reports for internal use as required
  • Ensuring contractors and call-out procedures are followed through
  • Maintaining strict control of all purchase orders and contractor work / service reports.
  • Using resources respectfully to keep wastage to a minimum
  • To be aware of departmental budgets in relation to costs and purchasing supplies
  • Use of EPIC purchase ordering system according to company guidelines

The Ideal Candidate

Our ideal Maintenance Coordinator will have;

• Previous experience within the hotel/maintenance industry
• Proficient in the use of Microsoft packages, i.e. Outlook, Word and Excel
• Have a strong eye for detail
• Demonstrate excellent communication skills
• Ability to multi task and work at a good pace
• Strong organiser
• Outstanding customer service skills
• Problem solver
